Over the past few months, our team at Colligo has spoken with a large number of clients and prospective clients. In reviewing those conversations, a clear pattern emerged.

Regardless of industry or use case, most questions ultimately came down to three simple ones:

  1. Will this make my life easier?
  2. Is this painful to roll out?
  3. Is this better than what we’re doing today?

It’s a useful reminder that, no matter how complex the technology, buying decisions are often grounded in very practical considerations.

Will this make my life easier?

For end users, the answer is consistently yes.

Professionals are already managing and filing emails as part of their daily workflow. Colligo simplifies and accelerates that process—without requiring them to change how they work.

In recent case studies, we’ve seen lawyers save more than 20 hours per month, and in some cases up to 80 hours per year per legal professional. That time goes back into higher-value work.

Is this painful to roll out?

This is often where even strong solutions encounter hesitation.

Because Colligo is built as a modern, cloud-based application, deployment is straightforward. In many cases, organizations can roll it out in minutes to existing Microsoft 365 user groups.

There’s no end-user installation required—Colligo simply appears within the inbox once enabled by an administrator. It also works with existing SharePoint structures, minimizing disruption.

In some cases, SharePoint itself may need optimization or setup. That’s an area where we actively support clients to ensure long-term success.

Is this better than today?

This question spans both individual productivity and organizational impact.

For end users, the benefits are immediate: faster filing, better organization, and significantly improved retrieval. Emails that are properly tagged and stored in SharePoint are far easier to find—whether accessed through Colligo or directly within SharePoint.

For organizations, the advantages extend further. Governance and compliance improve as important communications are captured in a centralized, managed repository. This supports lifecycle management, discovery, and audit readiness—particularly critical in regulated industries.

A simple framework for complex decisions

What stood out most in these conversations is how consistently these three questions apply.

Technology decisions can feel complex, but at their core, they’re often evaluated through a very practical lens:

  • Does it make work easier?
  • Is it easy to adopt?
  • Is it meaningfully better?

Those are the standards we continue to hold ourselves to.
