Previously I talked about the advantages of a client-side sync architecture for mobile content management. Today, let’s explore the Colligo Engage platform, its powerful client-side sync engine, and how it helps enterprises enhance corporate governance.

In the middle are the apps that are sync-powered apps for Windows, Mac, iOS and Android.

On the right are the different repositories supported by the sync engine. Today Colligo Engage supports SharePoint on-premise, Office 365, OneDrive for Business and Exchange. In the near future, this list will be expanded significantly.

On the left is the Colligo Console. It’s the command center for the Colligo Engage system. Colligo Console is built on Microsoft Azure, a highly secure cloud computing platform, and it communicates with individual apps via the sync engine. Content, user and device activity data is collected, yet all corporate content remains in place and secure on the organization’s systems. No content is ever copied or moved.

Administrators can rely on a number of Colligo Engage features to support their governance goals.

#1. Push Content & Policies to Devices

With Colligo Console, administrators can centrally set-up and push content and policies to the apps of all users simultaneously. Policies can be used to push content from specific locations to individual mobile devices, choose favourite locations, white list or black list sites, specify 3G sync options, restrict device activities such as “open in” or print, specify app pass codes and remotely wipe data from devices. The Colligo Console leverages Active Directory to deploy policies to specific users or groups of users.

#2. Full Support for Enterprise Metadata

Another very important requirement for governance is the ability to apply and edit metadata. All Colligo Engage apps provide full metadata support for SharePoint content, including enterprise-managed metadata (taxonomies, keywords) and person/group metadata. The new Colligo Email Manager for iOS, which is coming soon, goes one step further providing a highly integrated SharePoint-Exchange mobile experience on iPhones, including auto extraction of email metadata when emails are filed to SharePoint.

#3. Data On-prem, in the Cloud or Hybrid

Many organizations are migrating their less sensitive content to the cloud with Office 365, while leaving the most sensitive content on-premise. This means that the ability to surface content from hybrid environments while making the physical locations invisible to users is very important to adoption and productivity. Colligo Engage apps deliver content into a single experience regardless of where it is being stored.

#4. Tracking, Reporting & Analytics

Tracking and reporting of user and content activity is a requirement that’s especially critical in regulated industries. Colligo Console collects all the activities that users perform within the apps and summarizes those in reports. Administrators can monitor usage activity by user or group, type of activity (like edit, read, share or sync), by device and by time period. It’s a great tool to audit and analyze user activities and to monitor user adoption and compliance. Dashboards available show metrics around email management and document distribution, for example. In the near future, IT Admins will be able to create their own dashboards using PowerBI.
