Customer Support

Which levels of customer support does Colligo offer?

Colligo offers three levels of customer support, Enterprise, Premium, and Online.

Enterprise Support

Enterprise support is available to all Colligo customers who have purchased an enterprise license with maintenance and support (M&S). This level of support entitles you to:

  • Dedicated sales engineer throughout your deployment
  • Dedicated support engineer post-deployment with quarterly check-ins
  • IT training: two hours training with web-based delivery
  • End user training: two hours training with web-based delivery
  • Platinum SLA with one business day response time
  • Unlimited email- and phone-based support incidents
  • All maintenance (minor) releases
  • All software assurance (major) releases
  • Self-serve support through the Colligo Support Site and the Colligo Community Site

Premium Support

Premium support is available to all Colligo customers who have purchased device licenses with maintenance and support (M&S). This level of support entitles you to:

  • Deployment services: available separately
  • IT training: available separately
  • End user training: available separately
  • Gold SLA with two business day response time
  • Unlimited email-based support incidents
  • All maintenance (minor) releases
  • All software assurance (major) releases
  • Self-serve support through the Colligo Support Site and the Colligo Community Site

Online Purchase Support

Online purchase support is available to all Colligo customers who have purchased licenses online at Colligo.com. This level of support entitles you to:

  • All maintenance (minor) releases
  • Self-serve support through the Colligo Support Site and the Colligo Community Site

Colligo Email Manager

What types of authentication are supported?

Does Email Manager work with Microsoft’s RMS (Rights Management Server)?

Yes.  Encrypted email can be uploaded to SharePoint, and metadata will be extracted correctly.  The RMS data remains embedded in the email, and if another user opens the email from SharePoint, the RMS protection remains in place.

How do I open, reply to, or forward an email in Sharepoint without needing to save it to another location?

The option to open an email from a SharePoint location (and then be able to reply to or forward the email) is determined by your Browser File Handling settings in SharePoint.

To change this setting in SharePoint:

  1. In SharePoint Central Administration, navigate to: Application Management > Manage Web Applications > [Web Application] > General Settings.
  2. In the Browser File Handling section, choose Permissive. Users now have the option to open a file as well as save it.

How does Colligo Email Manager detect when the same email is filed to the same folder location in SharePoint?

When an email is filed to a SharePoint location, Colligo Email Manager creates a file name for the email based on the following email properties: sender name, sent date, sent time, and subject. The same email can be filed to two different folder locations in SharePoint, but if a file exists with the same file name, a prompt displays informing the user that the email already exists in that location. The user can overwrite the existing file, or cancel the upload.

Which installer package do I need for Email Manager?

For Email Manager, the installer package you need is dependent on your Operating System. Simply choose the download that corresponds to either 32-bit or 64-bit Windows.

Does Colligo Email Manager support Outlook web access?

Filing email to SharePoint within Outlook Web Access (OWA) is not supported.

Are there any conflicts with any Outlook plug-ins for CRM?

There are no conflicts using the MS Dynamics CRM add-in in conjunction with Colligo Email Manager.

What happens if several people receive the same email and then multiple people upload the email to SharePoint?

Colligo Email Manager will prompt the user, giving them an option to override the item or not. They can rename the item if they are not sure.

Is the file name of the .msg configurable in Colligo Email Manager? For example, is it possible to include the longer global id inside the .msg file?

There is a registry key that can be changed pre- or post-install.

The registry key name and location is: EmailManager\MsgFileNameFormat
The default format is:
{0}_{1:ddMMMyy HH.mm.ss}_{2}
{0} = Sender
{1} = Received Date
{2} = Subject

Does Colligo Email Manager extract bcc/cc properties automatically?

Colligo Email Manager automatically extracts 22 common email properties, as long as the document library is configured with those properties. For a list of which properties are extracted, see the Colligo Email Manager Administrator’s Guide.

How are product updates managed?

Product updates are available from the Colligo website. Users who are upgrading to a newer release will need to run the setup or MSI, which will detect an existing version and upgrade.

Colligo Briefcase

At what point does Briefcase encrypt data?

Credential data is encrypted and is temporarily retrieved when the credential data is used.

File data is encrypted when the device is locked and made available when unlocked. A file is unlocked when it is being viewed, and locked when it is no longer being viewed. When a file in Briefcase is locked, no other application is able to access it.

Can I use a shortened URL, such as Tiny URL or bity.ly, in the Add Site dialog?

Shortened URLs will work in Briefcase but when you are creating one, you must amend the browser URL in order for it to authenticate properly.

For example, if you enter the following URL in the Add Site dialog: http://sitename.corporate.local/subsite/SitePages/Home.aspx, Briefcase is able to detect the root of the site for authentication. However, if you turn this URL into a shortened one, Briefcase is no longer able to detect the root and authentication will fail. Therefore if you want to create a shortened URL, you must amend the original URL to read as follows: http://sitename.corporate.local/subsite/

 

 

How do I find my UDID?

If you are beta testing a Colligo iOS application, or working with support to track down an issue, Colligo may ask you to provide your UDID, or Unique Device Identifier. This page describes details of what a UDID actually is, and how to find it.

Every iPad is assigned a UDID, an identifier that is unique to that physical device. Your UDID is not personally identifiable to any particular person, and is used only to lock each license of Briefcase to a specific device.  When Briefcase is purchased and deployed in your organization, no UDID is required. This is a requirement from Apple specific to trialing software for enterprise deployment.

To find your UDID for your iPad:

  1. Connect it to your computer and launch iTunes.
  2. Select your iPad in the Devices list.
  3. On the Summary tab is the iPad Serial Number. Click this field to toggle between the Serial Number and the UDID:

Why doesn’t my third-party application (e.g. GoodReader, DocumentsToGo) display when I tap the Open In command?

The list of applications that display in the Open In list is controlled by iOS. It selects a random list of apps that support the type of file you are viewing. The number of apps displayed depends on the device type and the iOS version. You can remove any unneeded apps that support particular file types to allow room for your desired third-party app to be displayed in the list.

What version of Colligo Administrator is supported by Colligo Briefcase?

Colligo Administrator version 1.1.3 is required for Colligo Briefcase.

What is the difference between Colligo Briefcase Enterprise, Pro, and Lite?

Colligo Briefcase is a suite of apps for easily accessing SharePoint content, including Outlook .msg files, on the iPad. Colligo Briefcase is offered in three editions, to meet the needs of enterprise, mid-sized deployment, and personal-use SharePoint access.

The following features are available in all Colligo Briefcase editions:

  • View SharePoint files directly on the iPad, including Office (Word, Excel, Outlook, PowerPoint) documents, PDFs, images, emails and more
  • Store SharePoint content offline for fast remote access
  • Easily share files using links to SharePoint documents
  • Find content fast with powerful search capabilities
  • Open and edit files in applications such as Documents to Go or GoodReader
  • View document and file properties, including metadata

Colligo Briefcase Enterprise is designed for organizations who require the highest level of security to ensure the protection of sensitive corporate data. Colligo Briefcase Enterprise features include:

  • Centrally-managed installation, deployment, and customization, in conjunction with major MDM (Mobile Device Management) systems
  • Separate passcode to access the Colligo Briefcase application
  • Granular control to specify which lists and libraries to synch, including by View
  • Hardware-based encryption (AES-256 bit) for all stored data
  • Remote data wipe capabilities (via MDM systems)
  • SharePoint credentials stored in Keychain, providing the highest form of trust-chain security
  • Stored data can be wiped automatically on 10 failed login attempts
  • Edit lists and metadata, even while offline. Open and edit files in other applications, syncing changes back to SharePoint.
  • Ability to restrict the SharePoint sites accessed and content cached (via Colligo Administrator)
  • Supports all SharePoint authentication methods as well as external access via VPN or Microsoft Forefront UAG/TMG

Colligo Briefcase Pro is a paid version for SMB SharePoint environments, who do not require the additional security, deployment, and management features available in Colligo Briefcase Enterprise.

Which MDM systems are compatible with Colligo Briefcase Enterprise?

Briefcase is compatible any MDM that provides app deployment, such as AirWatch, MaSS360, and Zenprise.

Which versions of SharePoint are supported by Colligo Briefcase?

Colligo Briefcase Lite supports SharePoint 2007, SharePoint 2010, and Office 365/SharePoint Online. Colligo Briefcase Enterprise, used in conjunction with Colligo Administrator, supports SharePoint 2010 and Office 365/SharePoint Online.

How do I make my content available offline?

Once your lists and libraries are synced the content is available offline. There is no extra step required. You know that an item has been synced if it has a green circle over the file icon. You can set your sync settings at a site, folder, or document level.

What if I can’t see some of my content offline?

By default, all content at the site, folder, and document levels, is set to be synced. If you have turned the sync setting off, the content will not be available offline. If you have exceeded the storage limit you set for the site or for the application as a whole, some of the content will not be synced and therefore not available offline.

Can I open and edit documents in Colligo Briefcase?

By default, you can use the “Open In” action and choose a program that is compatible with the document type to open and edit it in. For additional security, the ability to edit and share documents can be disabled in Colligo Briefcase Enterprise. New or edited documents can be saved to SharePoint using Colligo Briefcase. (Pro and Enterprise versions only)

Which document types are supported by Colligo Briefcase?

The document types supported by Colligo Briefcase are listed in an appendix in the Colligo Briefcase User Guide.

Does Colligo Contributor work in a Terminal Server environment?

Colligo Contributor Client, Viewer, and Add-in for Outlook can all be operated in a single session or single user terminal server environment. There are restrictions, however, that require further investigation of any particular deployment scenario.

Where does Colligo Contributor store its local cache?

By default, the local cache storage is placed in the following location:

Windows XP: C:\Documents and Settings\username\Local Settings\Application Data\ColligoOfflineClient\Storage5

Windows Vista: C:\Users\username\AppData\Local\ColligoOfflineClient\Storage5

You can change the location of the local cache to any other valid path including the local file-store, a network location, or other (for example, USB drive). The location can be set in the Configuring Options window, accessed from the View > Options menu.

For performance and connectivity reasons, the local file-system is the preferred location for the cache.

Where are the Colligo Contributor icons in Windows 7?

In Windows 7, the Colligo Contributor icon does not display in the System Tray by default. You can choose to display it by selecting Customize in the Icon management screen:

Colligo Contributor Add-in for Outlook

How can I make sure my Contributor Add-in for Outlook is enabled?

I uploaded an email but it’s not on the SharePoint server and is not in Outlook – where did it go?

If Contributor tries to upload an item from Outlook to SharePoint and it fails, a folder called Import Issues is created in the Outlook folder tree under the Colligo for SharePoint group. The item is placeed in that folder.

How do I connect a SharePoint site to Outlook using the Connect to Outlook button?

The Connect to Outlook button connects the SharePoint list or library displayed in Internet Explorer to Outlook; a folder with the name of the list or library displays under the Colligo for SharePoint list in the folder tree.

A dialog displays, asking if you want to enable local caching for the list or library. This means the content in the list or library will be available offline.

Colligo Contributor automatically gathers the access credentials from the browser. If you are prompted for your credentials, choose one of the following options:

  • Use default credentials: select this option to choose default Windows credentials
  • Use the following credentials: select this option to enter user-specific credentials and enter your User name and Password

Colligo Administrator

What version of Colligo Administrator is supported by Colligo Briefcase?

Colligo Administrator version 1.1.3 is required for Colligo Briefcase.

Can users override, add, or delete Colligo folder locations that are pushed out by their IT departments?

If Colligo Administrator is being used to push out Sites, Favorites, and Folders, by default, users can still add and delete their own Sites, Favorites, and Folders; however, the next time the user launches Outlook, the preconfigured Sites, Favorites, and Folders appear again. If an IT Administrator wants to prevent users from making any changes to the settings pushed by Colligo Administrator, they can create Control Groups, which lock down the content available to users, and prevent them from changing anything except their Search Locations.
