SharePoint in Outlook
Welcome to Colligo Contributor for Outlook. It's easy to use.
Contributor links your SharePoint document libraries and lists to Outlook
for easy access. You can drag-and-drop emails
and documents into your Colligo for SharePoint
folders. With 2-way synchronization, any changes made in Outlook
and SharePoint are
automatically updated. Use Contributor to manage your emails and to extend the functionality of SharePoint to
Outlook - improving access, ease of use, and your personal
productivity.
Getting Started
Linking SharePoint to Outlook using Contributor is fast.
From a document library or list in SharePoint, simply click the yellow "
Connect
to Outlook" button in your Internet Explorer toolbar. Contributor will automatically use the credentials you entered to access the SharePoint
site. You will then be prompted to add the library to
Outlook. Click "Yes."
Alternatively, you can use the "Connect" button in the Outlook toolbar to
stay within the Outlook interface. You will be prompted for the SharePoint
site URL and your credentials. You can then select which SharePoint library
or list you want to sync to Outlook.
Once synched, a sub-folder will be
added to your Colligo for SharePoint folder at the top of your
Outlook tree view.
The naming convention is
the site name and document library name - at any time you can personalize
these folder names in Outlook!
The content from the SharePoint library will be
automatically linked in Outlook. New content you add to the folder will be immediately
synchronized to SharePoint when online. If working offline, added content will be
cached and synchronized to the SharePoint server when you are back
online. Configuration options can be set by double-clicking the Contributor
Icon in the system tray, then selecting View from the menu bar, and
choosing Options.

Saving Emails to SharePoint
In addition to saving documents in your Colligo for SharePoint folders, you
can now easily save emails and attachments. You can (1) use the Send & File
feature when sending an email, (2) drag-and-drop sent or received emails, or
(3) use Outlook rules to automatically save new emails to SharePoint
document libraries. Entire Outlook folders can also be copied to SharePoint.
The email metadata
(To, From, Subject, Date, etc.) and attachments are automatically captured. Enterprise managed
and keyword metadata can be set via the term store. You can also set default metadata for folders - items that you
subsequently drag-and-drop to these folders automatically inherit the
default metadata. Use the "Ctrl" button to copy (rather than move) an email to
SharePoint when you drag-and-drop. It's never been easier to share and store emails in SharePoint!
